Hotels & Car Rentals

Booking Process

  • All bookings are prepaid unless otherwise noted. Refunds MUST be requested at least 48 hours in advance when refunds are available. Refund will go to original form of payment.
  • Due to tax calculations, you may see a small refund of a few dollars once we have finalized your booking.
  • If you booked a car, one of our friendly agents will e-mail and call you to obtain flight information to complete your car rental.
  • All bookings are NOT confirmed until you receive an Itinerary Email & Vouchers from Alaska & Yukon Tours (AYT).
  • The initial email you receive is only for reference. You will receive a confirmation from AYT with your hotel and car rental confirmation numbers with 48 hours of booking.
  • Not all vendors will allow you to earn credits or amenities as a member of a frequent traveler program.
  • Bookings will show up on your credit/debit card as “FH Alaska Yukon”.
  • Bedding is not always guaranteed, we do our best to secure the bedding preference indicated when you booked.

Changes and Cancellations

  • Changes must be done thru AYT. Hotel and car rental agencies may not be able to assist you.
  • Extensions of your package, IF completed outside of AYT, may be at different rates than those paid. Changes and extensions should be done thru AYT.
  • If you can not make your stay, please let us know as soon as you can. While we do not offer published after hours support, please leave a voicemail as we do monitor those.
  • If you no-show, please contact us as soon as you can. We can not guarantee refunds for our packages but will advocate on your behalf. If you no-show due to a flight issue, please be sure to include proof of delay (such as a screen shot from the airline app showing delay/cancel, etc).
  • Please let us know as soon as you can of any name changes or spelling errors.
  • EXCEPTION:  CAVES BRANCH ADVENTURE LODGE -> AYT has an exclusive agreement to process refunds/changes for guests subject to a $100 USD fee per person, as long as the cancellation or change is requested at least 7 days in advance.  
  • EXCEPTION:  Best Western Biltmore Plaza Belize City, Crowne Plaza SeaTac, Ramada Juneau (Prospector):  We are able to allow for cancel & refunds up to 48 hours before travel, at no charge.

Vendor Age & Deposit Requirements

  • Most hotels require you are at least 21 years of age to rent a room, unless part of a booking that includes additional rooms with adults over the age of 21.
  • Hotels may require an authorization of $20 to $50 USD per night, per room, as a hold or authorization on a valid debit or credit card for incidentals. This can be on a debit or credit card.
  • Car rentals require the driver be licensed (by the US or accepted international body) and be at least 21 years of age
  • Car rentals in Alaska may require a deposit of up to $500 on a credit or debit card as a hold.
  • Some car rental agencies in Belize require an imprint of your card, and/or a deposit of up to $1000 USD on a credit or debit card.
  • Hotels & car rentals are SMOKE-FREE.  You may be subject to a cleaning charge, starting at $200 USD, if you smoke in the hotel room or vehicle.  It is important that you notify hotel or car rental staff should you detect any unusual odors immediately.  

Upgrades & Frequent Traveler Points

  • Hotel upgrades are not handled by AYT. Should you wish a better room, please inquire with the hotel at check-in. Additional fees or monies may be due.
  • Some vendors will allow you to accrue points when booked thru AYT. Once you receive your Itinerary Email & Confirmation from AYT, you can input your confirmation number at the respective vendor to display and add your frequent traveler number/information. *Note: you may have to call in to the hotel/car rental to add if the website does not allow it.

Car Rental

  • Packages that include a car rental are based on a 24 hour period.  Rates may vary for longer rentals.
  • Exact pick-up location will be listed on your Itinerary Email & Confirmation once booked
  • Car rental reservation will be made in the name of the first person listed on the reservation

COVID-19 Cancellation Policy

  • In the event of changes with travel restrictions tied directly to COVID-19, we will advocate on your behalf for full refunds. Changes or cancellations MUST be requested prior to travel.
  • AYT strongly recommends travel insurance to cover each traveler. Annual plans can be as low as $250 USD per person.

Airline Travel

Booking Process

  • All *published* airfare bookings require payment within 24 hours of reservations. 
  • Tropic Air bookings inside Belize, when not part of an AYT package, may be purchased at the ticket counter upon checking in.
  • Fares are subject to change until purchased.
  • Please provide AYT with the full legal names, gender, and dates of birth of ALL travelers.  It is YOUR responsibility to ensure we have entered them into the system correctly, please review any & all itineraries once they are received to your e-mail.
  • Flights can change, and when purchased thru AYT, we will keep an eye on the schedules for you and advise of changes
  • We do NOT sell BASIC economy tickets. All fares quoted will be MAIN CABIN or premium (when requested).
  • We use a variety of sources when booking flights, including our Sabre reservations system and ADX.  You may receive more than one confirmation for travel, and not all confirmation numbers allow you to view reservations at airline websites.  If you are unsure of the correct PNR (reservation code), please let us know.
  • We are not allowed to rebook a customer who has not paid for a reservation multiple times, on the same flights, city pairs, dates, and fares.  This can result in a charge to us.
  • AYT is happy to assist you in booking flights using miles for a Trip Design fee of $35 USD per family, per PNR (reservation).

Changes and Cancellations

  • Changes must be done thru AYT in order to keep your travel in sync.
  • Airline tickets are typically non-refundable once purchased.  We can, however refund/cancel within 24 hours of issuing the tickets.  Once ticketed, you will be subject to the fare rules/tariff of the fare. 
  • If you no-show, please contact us as soon as you can. We can not guarantee refunds for our packages but will advocate on your behalf. If you no-show due to a flight issue, please be sure to include proof of delay (such as a screen shot from the airline app showing delay/cancel, etc).
  • Most change fees with airlines are still being waived due to Covid-19, however there may be a difference in airfare.
  • You can not transfer the value of one ticket to another person, except for American Airlines tickets – subject to a $50 USD fee per person.
  • If you no-show for your flight, airlines may not allow you to rebook or use any value of the tickets.
  • Alaska Airlines unused tickets can be deposited into the traveler’s ‘MY WALLET’ and used for up to one year.
  • Tropic Air changes must be handled by AYT at least 3 hours before your flight time ONCE ticketed.  Change fees up to 50% of the value of the ticket may be charged.
  • Alaska Seaplanes special rates can be cancelled up to 24 hours before travel for a $25 USD service fee.  Changes within 24 hours of travel, or after travel has commenced, will result in a $45 USD/passenger fee.

Other Fare Rules

  • Name changes are typically not permitted once ticketed.
  • Bag fees are NOT included with all fares.  We will advise of any bag fees prior to departure.  It is YOUR responsibility to pay for any and all fees.
  • Flights MUST be cancelled or changed before departure, or you will be subject to a no-show fee.  Unused flights (e-tickets) can be used within a year from date of PURCHASE on the same airline and ONLY for the traveler listed on the ticket (exception: We can change names on American Airlines tickets for a $50 USD fee).
  • Seat assignments are not guaranteed.
  • Flights may change, even up to departure time.  It is your responsibility to ensure you are aware of any changes.  We will email/text you of any changes on same day of travel.

Upgrades & Frequent Traveler Points

  • We will advise you if the fare purchased does not allow for credit of frequent flyer points/credit. Some fares we get are special discounts and may not be eligible for upgrades and points.
  • We will add your frequent flyer number to your reservation, as presented to us.

Ferry Travel

Booking Process

  • Alaska ferry reservations require prepayment to lock in your reservation.  
  • Rates are subject to change once booked.
  • AYT will provide confirmation numbers to you, once booked.

Changes and Cancellations

  • Changes must be done thru AYT in order to keep your travel in sync.
  • Changes to ferry travel are subject to a change fee.

Other Fare Rules

  • Name changes are typically not permitted once ticketed.
  • Bags are typically permitted on the Alaska Marine Highway & Alaska Fjordlines.

Deposits & Payments on Excursions/Packages/Tours

Deposits

  • Packages that include hotel, transfers, and excursions may allow for a deposit against the total to be paid in order to start the booking process.
  • Deposit collected is PER PERSON.
  • Should AYT not be able to secure accommodations or tour elements, we will offer alternatives or refund your deposit in FULL.
  • Deposits for packages vary from $100 USD to $200 USD per person, plus taxes.  
  • Failure to make payments on time may result in the forfeiture of your deposit and/or cancellation of travel services without refund.
  • Payment plans are available on all packages that allow for a deposit when noted.  
  • Packages may sometimes require full payment upon confirmation of all tour elements & options. 
  • Cayo Adventure Tours deposit will lock in your space for the tour, final payment will be due directly to CAT.  
  • Per our licensing requirements, funds for unpurchased travel will be placed in ESCROW until used.  We will NOT touch these funds until charged or collected by the vendor.  Our escrow account is with Bank of Hawai’i, member FDIC.

Changes and Cancellations

  • Changes may be subject to a fee depending on vendors and tours offered. 
  • Cancellations are also subject to fees depending on vendors used.  
  • AYT may reserve the right to charge an additional administrative charge of up to $50 per person to recover fees associated with credit card fees.
  • If you NO-show for your tour/excursion, you are not eligible for a refund.

Payment Plans

  • When offered, we can process a low amount every month or quarter for your package, at no additional charge or interest.
  • If you miss a payment or need to extend, please let us know ASAP.
  • Final payment is typically required 30 to 45 days prior to travel.   Some packages may allow payments up to 20 days prior.
  • Failure to pay the final amounts due will result in cancellation of travel and/or your entire booking.  
  • We are willing to work with travelers who run into a money crunch and adjust travel, when allowed, to rebook you on a package that better suits your budget.

Vendor Cancellations

  • In the event a vendor cancels an excursion or tour, please work with them to reschedule.
  • Should the vendor not be able to accommodate you, most will offer a refund – and we will process that if full payment was collected.

Minimum Guarantee Payments

  • AYT is offering a new, exclusive option for travelers.  Most operators require a MINIMUM NUMBER of participants in order for a tour to operate.  AYT will allow you, in the booking process, to tick a box notifying us you are willing to pay for the additional seats should the minimum number of travelers not be met.  
  • We will notify you of the additional costs, and if approved, charge your card on file.
  • On the day of the tour, we will verify the number of participants with the operator and if the minimum has been met, we will refund you the difference paid.
